  • Telephone number, if you provide it

  • The content of your message or enquiry

Health and wellbeing information

When you complete a health and wellbeing questionnaire, I may collect information about your health, injuries, mobility, medication, pregnancy or postnatal status and other information that may be relevant to your safe participation in yoga and movement classes.

Health information is considered special category personal data under UK data-protection law and is therefore treated with additional care and protection.

I only ask for information that is relevant to helping me understand your needs and support your participation safely. Please do not provide more medical information than is necessary.

Information about babies

If you attend a Mum & Baby class, you may give me limited information about your baby, such as their name or age. See section 17.

Mailing list and marketing

If you choose to sign up to receive newsletters or marketing communications, I may collect your name and email address.

You can unsubscribe from marketing communications at any time by using the unsubscribe link provided in the email or by contacting me directly.

3. How and why do I use your information?

I may use your personal information to:

  • Respond to enquiries and requests.

  • Process and manage bookings.

  • Provide yoga classes, courses, workshops, online library access and other services.

  • Send booking confirmations, reminders, class links, cancellations or other important service-related communications.

  • Process and manage payments.

  • Keep appropriate attendance and business records.

  • Understand relevant health or wellbeing considerations so that I can provide classes appropriately and support your safe participation.

  • Contact you, or your emergency contact or local emergency services, in an emergency.

  • Contact you about changes to classes, venues or schedules.

  • Send newsletters or marketing communications where you have chosen to receive them.

  • Maintain and improve my website and services.

  • Meet legal, accounting, tax and insurance requirements.

  • Establish, exercise or defend legal claims where necessary.

  • Protect the safety, rights and interests of Wild Flow Yoga, its clients and others.

4. Lawful bases for using your information

Under UK GDPR, I need a lawful basis for processing personal information. Depending on the circumstances, I may rely on:

Contract – where processing your information is necessary to provide a class, booking or other service you have requested.

Legal obligation – where I need to keep or disclose information to comply with a legal obligation, such as accounting or tax requirements.

Legitimate interests – where processing is reasonably necessary for running and improving Wild Flow Yoga, managing customer relationships, maintaining appropriate records, preventing misuse or protecting my business, provided that these interests do not override your rights and interests.

Consent – where you have actively chosen to give consent, for example to receive marketing communications, to appear in photographs, or where consent is required for particular cookies or similar technologies.

Vital interests – where I need to share information to protect someone’s life in an emergency.

You can withdraw consent at any time where consent is the lawful basis for processing. Withdrawal of consent does not affect processing that took place before you withdrew it.

5. Health information and special category data

Some information collected through my health and wellbeing questionnaire may constitute special category data concerning health.

I collect this information so that I can understand relevant health, injury, mobility, pregnancy or postnatal considerations and take these into account when providing live yoga and movement classes. I do not ask for a health questionnaire from people who only use the online library of pre-recorded classes.

I rely on your explicit consent to process health information for this purpose. The health questionnaire provides a clear, separate opportunity for you to give that consent, which you can withdraw at any time.

Health questionnaires are not stored on the OfferingTree platform. I store them on my own password-protected, encrypted device, or under a lock and key if submitted on paper, and I delete any other copies (for example, copies in email) once they have been saved. Only I have access to them.

I aim to collect only the health information that is reasonably necessary for the purposes described above and will take appropriate steps to keep it secure.

You are responsible for providing accurate and relevant information and for telling me if your circumstances change in a way that may affect your participation.

Wild Flow Yoga provides yoga and movement instruction and does not provide medical diagnosis or treatment. If you are unsure whether yoga or a particular activity is appropriate for you, you should seek appropriate medical advice.

6. Who do I share your information with?

I do not sell your personal information or rent contact lists to other organisations.

I may share information with trusted third parties where this is necessary to operate Wild Flow Yoga or provide services to you. These may include:

  • OfferingTree, which provides the website, booking, email, video-link, online library, storage and related business-management functionality used by Wild Flow Yoga.

  • Zoom, which is used to deliver live online classes.

  • Stripe, which processes payments made through the Wild Flow Yoga website.

  • Email and communication service providers used to send booking confirmations, reminders or newsletters.

  • Website, hosting, IT or technical service providers where necessary to operate and maintain my services.

  • Professional advisers, insurers or legal representatives where reasonably necessary.

  • Emergency services, in an emergency.

  • HM Revenue & Customs, regulators, courts, law-enforcement bodies or other authorities where I am legally required or permitted to do so.

Where another organisation processes personal information on my behalf, I will take reasonable steps to ensure that appropriate contractual and security arrangements are in place.

Third-party providers may have their own privacy policies, which you should review where appropriate.

7. OfferingTree and Zoom

The Wild Flow Yoga website, booking functionality, class emails, online library and some record storage (including your acceptance of the Participation & Safety Waiver) are provided through OfferingTree.

OfferingTree hosts websites and related business information using cloud services including Amazon Web Services and Google Cloud Services. OfferingTree also uses cookies, web logs, device information and similar technologies as described in its own Privacy Policy.

Live online classes are delivered through Zoom. Live online classes are not recorded. Other participants in the class may be able to see your name and, if you turn it on, your camera image. You can choose whether to turn your camera and microphone on. Zoom has its own Privacy Policy, which explains how it processes information.

OfferingTree and Zoom may process information in countries outside the UK. See section 14.

8. Stripe and payments

Wild Flow Yoga uses Stripe to process payments.

When you make a payment, payment information is processed by Stripe. I do not store your full payment card number or security code.

Stripe may process information necessary to process your payment, prevent fraud, manage refunds and chargebacks, and provide its payment services. For some of this, Stripe may act as a separate data controller.

Stripe may also use cookies and similar technologies in connection with its services, including for fraud prevention.

Stripe has its own Privacy Policy and Cookie Policy, which apply to its processing of your information.

Transaction and payment records may be retained for as long as necessary to meet accounting, tax, legal and insurance requirements.

9. Email communications and marketing

I may send you service-related emails where necessary to manage your booking or provide a service you have requested. These may include booking confirmations, reminders, class links, changes to classes and other important information.

These communications are different from marketing communications and you may not be able to opt out of essential service messages while you have an active booking or service relationship with me.

If you have chosen to receive newsletters or marketing communications, you can unsubscribe at any time using the unsubscribe link in the email or by contacting me.

10. Cookies and similar technologies

The Wild Flow Yoga website is hosted and powered by OfferingTree and may use cookies and similar technologies.

Some cookies may be strictly necessary for the website, booking system or security features to function. Other cookies or tracking technologies may be used for analytics, functionality or marketing.

Where consent is required for non-essential cookies or similar technologies, these will only be used after the appropriate consent has been obtained.

For more information, please see the Wild Flow Yoga Cookie Policy.

11. Photographs and recordings

From time to time I may take photographs or video recordings for promotional purposes, for example for my website or social media.

  • I will only use photographs or recordings in which you can be identified if you have given your permission first. You are never required to appear in them, and attending a class does not mean you agree to be photographed or filmed.

  • You can withdraw your permission at any time by contacting me. I will then stop using the image and remove it from my website and social media as soon as reasonably possible. I may not be able to recall material that has already been printed or shared by others.

  • I do not take identifiable photographs or recordings of babies or children, or use their images, without the written consent of a parent or guardian.

  • Live online classes are not recorded. You must not record, screenshot or photograph any class or other participants.

  • Pre-recorded classes in the online library are recorded by me. They do not include recordings of participants.

12. How long do I keep your information?

I will not keep personal information for longer than is reasonably necessary for the purposes for which it was collected, unless I need to retain it to comply with a legal, tax, accounting, insurance or other legal requirement. The periods I normally use are:

  • Enquiries: 12 months after our last contact.

  • Booking, attendance and customer records (including your acceptance of the waiver and any written parental consent): 3 years after your last class or purchase.

  • Health questionnaires: 3 years after your last live class, then securely deleted. If you ask me to delete your questionnaire earlier, I will do so unless I need to keep it for a legal or insurance reason.

  • Financial and tax records: 6 years, as required by law.

  • Marketing information: until you unsubscribe or it is otherwise no longer necessary.

  • Photographs and recordings: for as long as they are in use, or until you withdraw your permission.

  • Records of complaints: 3 years after the complaint is resolved.

I will periodically review the information I hold and securely delete or dispose of information that is no longer required.

13. How do I keep your information secure?

I take reasonable technical and organisational measures to protect personal information against accidental loss, unauthorised access, alteration, disclosure or destruction. These include using password-protected and up-to-date devices and accounts, keeping health information separate from general booking information, and deleting information securely when it is no longer needed.

Access to personal information is limited to people and service providers who need it for legitimate business purposes.

No method of transmitting or storing information online can be guaranteed to be completely secure. If I become aware of a personal-data breach that I am legally required to report, I will take the appropriate steps required by law.

14. International transfers and visitors from outside the UK

I am based in the UK and Wild Flow Yoga is governed by UK data-protection law.

Some of the providers I use, such as OfferingTree, Zoom and Stripe, may store or process information outside the UK, including in the United States. Where personal information is transferred outside the UK, I use providers that apply appropriate safeguards required by UK data-protection law, such as the UK–US data bridge or the UK International Data Transfer Agreement or Addendum.

Health questionnaires are stored on my own device in the UK and are not sent to these providers.

If you live outside the UK, local data-protection laws (including in the EU) may give you additional rights, and I will respect those rights where they apply to me. You can use the contact details in section 1 to exercise them.

15. Your data-protection rights

Under UK data-protection law, you may have rights including:

  • The right to be informed about how your personal information is used.

  • The right to request access to personal information I hold about you.

  • The right to ask for inaccurate or incomplete information to be corrected.

  • The right to ask for personal information to be erased in certain circumstances.

  • The right to ask for processing of your information to be restricted in certain circumstances.

  • The right to object to certain types of processing, including direct marketing.

  • The right to data portability in certain circumstances.

  • The right to withdraw consent where consent is the lawful basis for processing.

These rights are subject to certain legal conditions and exemptions and therefore do not apply in every situation.

If you would like to exercise one of these rights, please contact me using the details in section 1. I may need to verify your identity before responding to a request.

16. Automated decision-making

I do not use automated decision-making or profiling that has a legal or similarly significant effect on you.

17. Children’s information

Wild Flow Yoga is primarily intended for adults.

I do not collect personal information from children, or about babies, without the written consent of a parent or guardian. In Mum & Baby classes I only ask for the limited information about a baby that is needed to run the class safely, such as their name or age, and I do not use it for any other purpose.

A parent or guardian can withdraw their consent, or ask to see or delete their child’s information, at any time by contacting me.

18. Complaints

If you have concerns about how I have handled your personal information, please tell me first so that I can try to put things right. You can complain to me by email or post using the details in section 1, or in any other way you find convenient, including by message through social media.

When I receive a complaint, I will:

  • acknowledge it within 30 days of receiving it (I aim to do so much sooner);

  • look into it and keep you informed of progress;

  • tell you the outcome in writing, without undue delay, including what I have done or will do about it; and

  • keep a record of the complaint and how it was resolved.

If someone is making a complaint on your behalf, I may ask for confirmation that they are authorised to do so.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s independent data-protection regulator, at ico.org.uk. You do not have to complain to me first, although I would encourage you to give me the chance to resolve the issue.

19. Links to other websites

The Wild Flow Yoga website may contain links to websites or services operated by third parties.

I am not responsible for the privacy practices, security or content of those third-party websites. You should review their privacy policies before providing them with personal information.

20. Changes to this Privacy Policy

I may update this Privacy Policy from time to time to reflect changes to my services, the website, the technology I use or applicable legal requirements.

The latest version will be published on the Wild Flow Yoga website with the date it was last updated.
